What Faculty Should Know

The mission of the Textbook Rental is to provide basic textbooks, CD-ROMs or other non-consumable materials, for undergraduate students enrolled in courses at UW-Whitewater. Educational materials delivered in electronic format will be considered on an individual basis provided they are deemed suitable to a rental format and meet current guidelines. Supplemental texts, required or recommended readings, website access codes, and graduate textbooks can be ordered through the University Bookstore for students to purchase.

  • The textbook designated by the instructor as the main textbook for a course will not be subject to any maximum dollar amount. All books, however, will be subject to a minimum retail value of $10.00
  • The total dollar limit for multiple texts in one course may not exceed $80.00 retail. Any request for multiple texts in one course exceeding a total of $80.00 must be submitted in writing to a faculty textbook committee for approval
  • Faculty may request review copies through publisher representatives, or a letter to the publisher on University letterhead
  • The Textbook Rental will request a desk copy with each new adoption ordered from the publisher. Faculty/instructional academic staff are encouraged to take advantage of publisher's free desk copies rather than loaning books from the Textbook Rental Service
  • Faculty using Textbook Rental books while teaching courses are asked to return them upon completion of each course since enrollments and our inventories fluctuate
  • When a new book is adopted for one or all sections of a course, the existing textbook(s) used by that instructor or the previous instructor will be discarded. Discard options include:
    • Books may be sold to a used book company
    • Books may be sold to the students at a reduced rate
    • Books may be sent to the department in which the course is taught (upon request)
    • Books may be sent to the Reserve Library in accordance with their policies (upon request)
  • Any textbook which has not been used in 3 years will be discarded upon written notification to the department chairperson. Exceptions may be submitted in writing to the Textbook Rental management
  • Titles must normally be retained for a minimum of three years
  • Textbooks delivered by faculty members to off campus sites must be requested 24 hours prior to pickup
  • Textbooks for workshops, seminars, graduate courses and one-time offerings are not available through the Textbook Rental
  • Faculty are encouraged not to give permission to their students to pick books up prior to the designated pickup time
