Chairs, Deans and Administrators

This page contains information for department chairs, deans, faculty personnel/promotion/tenure committee members, College constituency committee members and other administrators who review the job performances, including the Faculty Portfolio, of faculty and instructional academic staff.

Policies governing reappointment of Probationary Faculty are found primarily in the University Handbook, Section VI-F, Chapter III, C, 4, Rules Governing Faculty Appointments Under UWS 3.

Reviews for Tenure-Track and Tenured Faculty

General Information for ALL faculty reviews including promotion to Associate Professor with Tenure

Performance Consultation of Probationary Faculty

New faculty who are hired and have the terminal degree by the date of hire have a two-year contract. The Consultation is completed for these faculty during the spring semester of the first year. The Record of Consultation is retained in the Faculty Portfolio and is reviewed during the fall semester of the faculty member's second year.

New faculty who have not completed the terminal degree by the date of hire will be appointed at the rank of Academic Staff Lecturer with a one-year fixed term contract and will undergo a Performance Review as Academic Staff during the spring semester of their first year.

Continuing faculty with a two-year contract undergo the Consultation in the FIRST YEAR of the two-year contract.

Reappointment Review and Decision: Probationary (Tenure-Track) Faculty

The procedures for the Reappointment Review with Decision, including sample forms, are used when departments conduct Reappointment Reviews of probationary (tenure-track) faculty. During the Reappointment Review, departments make two decisions: whether to reappoint or issue a terminal contract; and (if the decision is to reappoint) whether to offer a one-year or two-year contract to the probationary faculty member. A copy of the Report of Decision is placed in the probationary faculty member's Portfolio before it is reviewed by other administrators, including the College Dean, College Constituency Committee (if required by the Personnel Rules), Provost and Chancellor. Deadlines for review by each constituency, including requests for rebuttals and appeals, are published in the Review, Decision, and Recommendation Timeline.

Tenure Review

The procedures for the tenure review, including the mandatory tenure review of probationary faculty (review for Promotion to Associate Professor with Tenure) are used when faculty apply for tenure. A copy of the Department's Report of Decision is placed in the probationary faculty member's Portfolio before it is reviewed by all other constituencies as specified in the UW-W Personnel Rules. Deadlines for review by each constituency, including requests for reconsideration, rebuttals and appeals, are published in the Review, Decision, and Recommendation Timeline.

The information within each Tab (Year 1-Year 6), including the cover page, routing form, performance evaluation form, narrative, course evaluation summaries, peer reviews of teaching, summary of consultation or report of decision, recommended actions [Constituency Dean, Constituency Standards Committee, if applicable, and Provost & Vice Chancellor for Academic Affairs], and any rebuttals or reconsideration reports, should remain in the Faculty Portfolio for review in subsequent consultations/performance reviews. Information in the Appendices should be removed every year and retained by the faculty member until the completion of the review process for tenure/promotion to Associate Professor.

Promotion to Professor

The procedures for the review of applications for promotion to Professor are used when faculty apply for promotion to Professor. A copy of the Department's Report of  Decision is placed in the faculty member's Portfolio before it is reviewed by all other constituencies as specified in the UW-W Personnel Rules. Deadlines for review by each constituency, including requests for reconsideration, rebuttals and appeals, are published in the Review, Decision, and Recommendation Timeline.

Post-Tenure Review

UW System policy requires that tenured faculty members undergo post-tenure review on a scheduled basis.  The Provost’s office forwards a list of faculty who are to undergo post-tenure review to deans at the beginning of the fall term.  Post-tenure reviews are to be completed and reports submitted to the deans before the end of the fall term.

Annual Review: Instructional Academic Staff

Two forms, the Employee Data Form and the Academic Staff/Supervisor Distribution of Effort Agreement Form, are found on the Purple Book page of the Academic Staff Assembly web site.

Departments should give Notice of Review at least 20 days prior to the annual review of instructional academic staff.

Instructional Academic Staff also undergo a Face-to-Face Review, which can be combined with the regular performance review. See Face-to-Face Review for Instructional Academic Staff (Statement of Performance Objectives) at: http://www.uww.edu/acadaff/admin/personnel/face2face.html.

Following the Face-to-Face Review, the Chair completes the 2012 Academic Staff Performance Evaluation Form

Instructional academic staff who teach less than 50% may undergo an expedited review by the department.  For expedited reviews, departments should submit an updated complete vita, copies of  evaluations from all courses, and an expedited peer review of teaching and teaching materials.
