UW-Whitewater Personal Services Payment Procedures

Payment to Foreign National

Departments should contact the Travel Office (ext. 3912) for specific instructions before promising payment to any foreign national (non-US citizen).
 
GENERAL OUTLINE OF THE PROCEDURE

In order to be paid by UW-Whitewater, a foreign national must be in the US on a B-1/B-2 or J-1 visa sponsored by our campus. See the UW-Madison Accounting Services website for a detailed explanation of visa types and eligibility for payment.

To obtain the appropriate visa from an embassy or consulate, the individual being paid must have an IAP-66 form issued by the UW-Whitewater Office of International Education and Programs. Before an IAP-66 is issued, the following steps must be completed:

  1. Requesting department sends a letter to International Education with the name and address of the individual to be paid, along with an explanation of the project or assignment and the amount to be paid by UW-Whitewater.

  2. International Education sends the individual a questionnaire to be completed and returned to their office.

  3. Upon receiving the questionnaire, International Education prepares the IAP-66 form and sends it to the individual to be paid.

  4. Individual takes the IAP-66 to his or her embassy or consulate and obtains a visa for entry into the US.

As soon as the individual arrives on the UW-Whitewater campus, the sponsoring department should obtain a copy of the individual's passport, the I-94 form contained in the passport, and the IAP-66 form. Copies of these documents should be attached to a completed PIR form and sent directly to the Travel Office in Financial Services. Payments over $600.00 also require an Academic Support Services Agreement.

In addition, the individual being paid should visit the Financial Services office as soon as possible in order to complete the following documents:

  • Form 8233 - Exemption for Withholding on Compensation
  • Form W-8 - Certification of Foreign Status
  • Form W-7 - Application for IRS Individual Taxpayer ID Number

Check will be issued within 10 working days of completion of all paperwork.
