ATTENTION:

The College of Arts and Communication seeks a Director of Public Events.

JOB DETAILS:

As the Director of Public Events for the College of Arts and Communications you report directly to the Dean of the College.

Primary responsibilities include managing the master calendar to provide event management and coordination of all College events including all departments within the college, and events scheduled by the Young Auditorium. Provide supervision to the Associate Director of Public Events and recruit, train, and supervise volunteers and paid student workers. Prepare marketing/publicity materials for Theatre/Dance Department, Music Department and for other college events as needed. Serves as college webmaster to create content and manage the department websites to update when necessary and serve as College liaison with University Ticket Services.

QUALIFICATIONS:

Minimum Qualifications:

  1. Bachelor's degree in Marketing, Communications, or related field with 2 to 3 years of professional experience with web design, web development, social media and data analytics and reporting. Interest in the promotion of the arts through various media.
  2. Strong organizational, time management and communication skills (verbal, listening, and written).
  3. Ability to work cooperatively with others and able to multi-task and remain flexible to changes.
  4. Experience working with databases and software including Microsoft Office, and the Adobe Suite.
  5. Ability to work independently in a fast paced work environment.

RESPONSIBILITIES:

30% A Marketing/Publicity Management

A1. Prepares and/or supervises preparation of programs, news releases, written promotional materials. Approves all materials prior to publication.

A2. Designs and/or supervises design of posters, flyers, programs and some videos for paid public arts events and certain free events, per the CAC promotion policies,

A3. Ensures the campus style guide is applied to CAC promotional materials and content aligns with the centrally established University brand.

A4. Project manager for season brochure creation for the Theatre/Dance Season Brochure and Music Mosaics Series brochure.
  • Recruits and supervises graphic designer
  • Requests quotes from Printing Services to determine best format
  • Develops image concepts in cooperation with directors and performers
  • Coordinates photo-shoots and takes photographs when applicable to the design concept
  • Ensures brochures meet US postal regulations
A5. Serves as College Webmaster.
  • Creates content including images via graphic design and photography
  • Edits pages and maintains the site structure for the CAC main website
  • Reviews and supervises CAC department websites
  • Provides assistance creating new pages or adjusting existing structure
A6. Manages social media channels for Greenhill Center of the Arts.
  • Advises and assists the CAC Departments with their social media efforts
  • Monitors developments in social media and educates faculty/students
A7. Seeks media vendors to serve as sponsors for events/seasons; negotiates and implements sponsorship agreements.

A8. Prepares and schedules content for atrium digital display.

A9. Oversees and provides digital images for the main street digital sign and serves as backup scheduler when Associate Director of Public Events is not available.

A10. Photographs productions and maintains image archive for Theatre/Dance Department.

A11. Manages the Theatre/Dance and Music season ticket and subscription campaigns.
  • Provides event information for all ticketed events in the CAC (except Young Auditorium) to University Ticket Services including - dates, times, locations, prices, seating configurations, seating holds.
  • Verifies events in ticket software for accuracy prior to on-sale date
A12. Drafts policies relating to publicity and promotions of arts events within the Greenhill Center.

30% B Supervision and Leadership

B1. Supervises the Associate Director of Public Events.
  • Assigns and reviews projects
  • Sets performance goals
  • Monitors progress, gives feedback and supports problem resolution, as needed
  • Prepares annual review
B2. Recruits, trains, and supervises volunteers (3 to 4 per semester) and paid student workers (2 to 3 per semester) who serve as CAC ushers, house managers, publicity and graphic design staff.

B3. Assigns projects, sets performance goals, guides and reviews projects, and recommends grades to the instructors for students (3 to 10 per semester) working on projects for Theatre-207/ACINDP-200, Theatre-309 and Theatre-499 courses.

B4. Serves as the liaison for the CAC with University Ticket Services.
  • Provides feedback on Ticket Services staff after events
  • Suggests changes to customer services practices to improve service to patrons
  • Coordinates special seating or accessibilities needs for events in the Greenhill Center of the Art
  • Educates Ticket Services staff about events to improve sales
B5. Represents the CAC on campus wide Communicators Committee.
  • Presents details about events and news at monthly meetings
  • Proposes feature story ideas
  • Connects with other members to cross-promote events when appropriate.
B6. Co-chair for Theatre/Dance Department play selection committee.
  • Writes and distributes meeting minutes to faculty and students
  • Researches script availability
  • Prepares ticket sales history and survey/feedback from previous productions and/or genres
B7. College Coordinator of the Alumni Mentor Program
  • Promotes the program to faculty and students
  • Assists matching students to mentors
  • Evaluates connections and counsels students, as needed
25% C Event Management and Coordination

C1. Chairs the CAC Scheduling Committee – responsible for managing the master calendar to coordinate all events for all Departments within the CAC, and events scheduled by Young Auditorium.
  • Schedules committee meetings and documents decisions
  • Ensures CAC policy is followed for all events
  • Advises faculty/students on event date and time selections
  • Collects individual forms and facilitates room reservations
  • Reviews schedules to prevent/limit event overlap
  • Coordinates and supervises booking annual Theatre/Dance Department’s Children’s Tour in area schools and theatres
  • Inputs information into CAC calendar formats, e.g. web-based calendar
  • Communicates details about featured events to a variety of community contacts for community calendars
  • Manages all internal and external calendar changes due to any event cancellations.
C2. Chairs the CAC Convocation and Scholarship Committee - to produce the fall Convocation and the spring Scholarship Awards and Recognition Celebration.
  • Schedules committee meetings and documents decisions
  • Assign tasks to committee members
  • Assists the Development office with collecting information for the program.
  • Coordinates technology and front of house needs with Young Auditorium staff
  • Identifies barriers and proposes solutions
  • Communicates progress to the Dean
  • Monitors timelines for task completion
  • Communicates event details and responsibilities to student speakers and award recipients
C3. Fundraiser and Event Coordinator for the Annual Holiday Gala Dinner, Concert and Silent Auction hosted by the Department of Music.
Solicits monetary and silent auction item donations from individuals and businesses.
  • Orders food and coordinates dinner with campus catering
  • Coordinates front of house needs with Young Auditorium staff
  • Manages Silent auction e.g. set-up, forms, signage, event supervision, payment collections
15% D Budget and Financial Management

D1. Projects costs, tracks and monitors expenses and revenue for multiple Departments within the College of Arts and Communication (CAC).

D2. Receives, deposits and documents donations for Music Department fundraiser, e.g annual Gala fundraiser.

D3. Analyzes data from ticketing system; prepares post-event revenue/expense reports.

D4. Obtains and negotiates advertising placement and manages payments.

D5. Runs reports, analyzes results and processes revenue transfers associated with student vouchers for the Music Department events.

D6. Projects ticket revenue and proposes ticket price changes for the Theatre/Dance Department budgeting process.

D7. Research funding options and prepares grant proposals for special projects, which are not funded through CAC revenues.

D8. Will be an active participant in following applicable safety rules and regulations including necessary training and drills.
