ATTENTION:

The Division of Enrollment & Retention seeks an Associate Director, Academic Advising and Exploration Center.

JOB DETAILS:

The Associate Director will serve as an integral part of the Division of Enrollment & Retention. The position reports to the Director of the Academic Advising and Exploration Center (AAEC), who reports to the Assistant Vice Chancellor. This position will coordinate the planning and implementation of programming for reinstated and probationary students. The position will serve as the Chair of the Academic Standards Committee, coordinate the appeal process for reinstatement to the University, and serve as a campus resource for academic standards. Additionally, the position will serve as a Coordinator of the Testing Office on campus - which meets campus and community testing needs. Finally, the position is part of the administrative staff within the AAEC.

QUALIFICATIONS:

Minimum Qualifications:

  • Master’s degree required (by the start date)
  • Four years of academic advising or similar experience in a higher education setting (professional advising preferred)
  • Commitment to a student-centered approach with the ability to work with a diverse population
  • Demonstration of excellent organizational, communication, presentation, and interpersonal skills
  • Involvement on a college campus (as a professional preferred)
  • Experience developing and administering support programming for students
  • Progression of experiences/duties/responsibilities on a college campus
  • Experience administering certification or standardized tests—both paper based and electronic administrations
  • Willingness and ability to be an active participant in following applicable safety rules and regulations, including necessary training and drills
Desired Qualifications:
  • Knowledge of PeopleSoft or similar Student Information Systems
  • Budgetary experience
  • Supervisory experience
RESPONSIBILITIES:

Responsibilities include coordinating the programming of the Office of Reinstated and Probationary Students; serve as the Chair of the Academic Standards Committee, and administering the duties and functions related to Academic Standards; and serve as the Director of the Testing Office. Participation in Warhawks SOAR events and Warhawk Premiere Days. May teach one section of the New Student Seminar, or coordinate a learning community. Contribute to the administration team of the AAEC. Available for walk-in hours in the AAEC, serves as a liaison to campus offices/departments, assist as a mentor to advisors in the AAEC, and other duties as assigned.

Office of Reinstated and Probationary Students
  1. Develop programming to promote the success of probationary students
  2. Serve as a campus resource for students having academic difficulty
  3. Collaborate with campus partners and coordinate efforts to facilitate student success
  4. Utilize data analytics to evaluate services, create programming, and to educate the campus community
  5. Coordinate programming with Early Success Coordinator
Academic Standards
  1. Serve as the Chair of the Academic Standards Committee
  2. Update and maintain the Academic Standards website
  3. Serve as a resource for University standards to the campus community
  4. Coordinate the appeal processes (including notification, review, and record keeping)
  5. Update student records in regards to academic standing
Testing Office
  1. Supervise Testing Office (including the recruitment, training, and supervision of 4-5 student workers and 2 graduate assistants)
  2. Evaluate and update Test for Credit booklet (including collaborating with academic departments, updating rules within Peoplesoft, coordinating policies to UW System and testing agencies, and updating website)
  3. Maintain certifications and testing security requirements for all tests delivered
  4. Coordinate the staffing and delivery of all tests
  5. Collaborate and communicate with campus and surrounding communities regarding testing needs and testing changes
  6. Responsible for maintaining accurate records and posting test results and corresponding credits or waivers
  7. Manage Testing Office budget and adhere to cash handling procedures
DEPARTMENT INFORMATION:

The Academic Advising and Exploration Center is a comprehensive first-year advising center with 20 staff and 5 GAs. The office provides advising to most first-year students and 200 undecided sophomores; the director supervises the Coordinator of the Pathways for Success program and the Associate Director who serves as the Coordinator for Testing and Academic Standards.
