Position Description
Title: University Services Program Associate
Department: Honors Program / Undergraduate Research Program / Student Success Center
POSITION SUMMARY: Manage the Honors Program and Undergraduate Research offices and facilities; provide administrative and program support to the directors of each program and participating faculty and students; coordinate the Honors curriculum with participating departments and programs, administer all finances, sponsored conference travel and student events; coordinate the grants competitions and organize workshops and other events for the Undergraduate Research Program and the University Honors Program. Assist and supervise when needed, the Student Success Center by providing students with basic information about that program.
Time% - Goals & Worker Activities:
10% Coordinate Office of Honors Program and Undergraduate Research Program General Operations and Assist the Student Success Center.
1. When the Directors are unavailable, manage the unit and the physical space.
2. Assist Directors with day-to-day administrative/office management and policy implementation. Supervise student staff responsible for general administrative support and operations (i.e. reception, mail, general filing, etc.)
25% A. Office Management (Honors Program)
A1. Hire, schedule, train, and supervise student employees to ensure the clerical support necessary to maintain the Honors Program.
A2. Enter hours of students employed with program funds into the payroll system and provide Human Resources and Diversity with appropriate documentation.
A3. Establish priorities and oversee the support team to insure that materials/projects requested by the director and participating faculty are completed accurately and in a timely manner.
A4. Compose correspondence, maintain files, oversee duplication and distribution of letters, memos, reports, and other written materials related to the Honors Program.
A5. Oversee the preparation and distribution of pamphlets, brochures, letters and various program publications to prospective Honors students, as well as other internal and external constituencies.
A6. Oversee the Honors Program website and coordinate updating material with the webmaster.
A7. Maintain program records, (i.e., Lists for commencement recognition, Honors credit counts, Honors students H-Options contracts, class offerings, etc.).
A8. Maintain a current library of grant and scholarship opportunities for students and prepare a monthly newsletter highlighting such opportunities.
A9. Organize Honors council meetings and maintain minutes.
A10. Provide support for student organizations (Honors Student Association and Phi Eta Sigma).
10% B. Honors Curriculum and Assessment Coordination (Honors Program)
B1. Coordinate preparation of the timetable with the Director, department chairs and Learning Community coordinator and staff.
B2. Serve as a curriculum liaison between Honors Director and departments to encourage more departments to develop Honors tracks in the major.
B3. Serve as a coordinator between Honors Director and Admissions, First Year Experience, Advising and the Registrar’s Office to coordinate events for new students and ensure that incoming students who are Honors eligible receive proper processing and information, including at summer orientations.
B4. Maintain records related to Student Retention and Achievement Data and assist in preparing Annual Reports.
10% C. Financial Functions (Honors Program)
C1. Assist the Director in organizing Honors conference, research and study abroad travel for students and faculty.
C2. Assist students and faculty in submitting reimbursement forms for supplies, services and travel.
C3. Supervise all supply and service purchases and accounting related to the Honors Program accounts.
C4. Maintain an updated record of the program budget.
5% D. Office Management (Undergraduate Research Program)
D1. Work independently to hire, schedule, train, and supervise student employees to ensure the clerical support necessary to support the Undergraduate Research Program.
D2. Approve work hours of students employed with program funds in the payroll system and provide Human Resources and Diversity with appropriate documentation.
D3. Establish priorities and oversee the support team to insure that materials/projects requested by the Directors and participating faculty are completed accurately and in a timely manner.
D4. Work independently to compose correspondence, maintain files, oversee duplication and distribution of letters, memos, reports, award notification and other written materials related to the Undergraduate Research Program.
D5. Maintain a library of current literature on best practices in Undergraduate Research programs.
15% E. Program Coordination and Outreach (Undergraduate Research Program)
E1. Maintain a current database of faculty and staff research activities and expertise.
E2. Serve as a liaison between the Undergraduate Research Program and internal (e.g., students, staff, Deans and MMR) and external constituencies (e.g., alumni, UWW Foundation, community).
E3. Prepare program publications and disseminate program information for prospective undergraduate research students as well as other internal and external constituencies.
E4. Organize council meetings, and maintain & distribute minutes.
E5. Work with ORSP on implementing the call for proposals for Undergraduate Research Grants, including checking for compliance in proposal format and IACUC & IRB requirements.
E6. Work with the Directors in submitting grant proposals to seek intramural and extramural funding to help expand the Undergraduate Research Program.
E7. Oversee the Undergraduate Research Program website and coordinate updating material with the Directors and the webmaster.
E8. Coordinate the promotion of the Undergraduate Research Program with Admissions and First Year Programs.
5% F. Program Evaluation and Assessment (Undergraduate Research Program)
F1. Coordinate program evaluation.
F2. Coordinate assessment of URP learning outcomes.
F3. Maintain archive of student grants and prepare reports on trends in student, faculty and department participation.
F4. Assist in the preparation of Annual Reports.
10% G. Program Advising (Undergraduate Research Program)
G1. Assist students in finding a research mentor.
G2. Assist students in finding and applying for Undergraduate Research opportunities.
G3. Assist the Directors in planning and implementing workshops that promote and support Undergraduate Research projects and mentoring.
G4. Coordinate recruitment events for potential undergraduate researchers.
G5. Provide support for Student Undergraduate Research Organization (SURO).
G6. Maintain a current library of grants, scholarships and summer research fellowships for students and prepare newsletters highlighting such opportunities.

H1. Assist the Directors in organizing URP-sponsored conference travel for students and faculty.
H2. Assist students and faculty in submitting reimbursement forms for supplies, services and travel.

Knowledge, Skills and Abilities:
• Experience in use of Microsoft word processing, spreadsheet, and database software programs such as Word, Excel, and Access.
• Proficiency in office management skills.
• Ability to effectively train and lead others, including student staff.
• Must be highly organized and able to manage multiple priorities at the same time and able to meet deadlines.
• Ability to develop good rapport and communication with administrators and faculty, as well as various university units and academic programs.
• Ability to work independently.
• Good written and oral communication skills.
Well qualified candidates will have the following:
• Bachelor’s degree.
• Knowledge of the university curriculum and high impact practices.
