INTRODUCTION:

The University Library, Division of Academic Affairs seeks a Library Services Assistant-Advanced. (Access Services-Night Manager/Interlibrary Loan Assistant).

JOB DUTIES:

The Night Manager / Interlibrary Loan Assistant provides public service at the Circulation Desk and assists the interlibrary loan department. Responsibilities include but are not limited to: supervising Library and circulation operations during evening and weekend hours, and providing and promoting interlibrary loan services to University users. This position supervises student assistants and assists with other tasks in the Circulation Department. The person will maintain a professional demeanor with students, faculty, and staff. Position reports to the Head of Access Services.

Hours:

Normal hours when school is in session:

Sundays – Thursdays 5:00 pm – 2am

Hours may vary during Exams, Intersession and Summer Session. Position may require early morning, late evening and weekend hours, as departmental needs require.

60%   A. Circulation Desk

  1. Responsible for building and collection security and safety during evening and weekend hours, when serving as sole staff member (approximately 50% of working hours).
  2. Circulate, renew, and discharge library materials.
  3. Supervise and maintain the routine operation of access services including evening and weekend hours.
  4. Assist in training and supervising student assistants working at the Circulation Desk.
  5. Coordinate with Student Supervisor payroll approval and scheduling.
  6. Demonstrate and promote library services and assist patrons in their use.
  7. Support Andersen Library’s general policies and procedures.
  8. Respond to user questions and complaints.
  9. Collect library fines.
  10. Open and close Library as directed.
  11. Keep current with changes to library systems and assist with the testing of new operational software releases that are related to circulation.
  12. Advise the Head of Access Services regarding updating and recommending changes to policies and procedures and assist in implementation.
  13. Assist with troubleshooting of library equipment, such as computers, printers, and photocopier.
  14. Assist with Library outreach and public relations initiatives
30%   B. Interlibrary Loan Service
  1. Process interlibrary loan and UW System requests.
  2. Assure accuracy and completeness of work.
  3. With the Head of Access Services, develop, monitor, update, and evaluate Interlibrary Loan and UW System borrowing policies, procedures, and problems.
  4. Assist with the maintenance of Interlibrary Loan systems and software
  5. Compile statistics and generate reports, as directed.
  6. Build and maintain positive service-oriented relationships with faculty and other patrons recognizing any special needs.
  7. Work directly with counterparts from other participating interlibrary loan institutions.
  8. Attend Library and University meetings as needed.
10%   C. Miscellaneous Duties
  1. Assist in management and maintenance of physical layout of Library facility.
  2. Maintain departmental voicemail and email accounts.
  3. Continue to gain general knowledge and contribute to the revision of library operations and policies.
  4. Maintain cooperative interpersonal relationships.
  5. Participate in cross-training opportunities.
  6. Work on special projects as needed.
  7. Will be an active participant in following applicable safety rules and regulations including necessary training and drills
  8. Perform other duties as assigned.
QUALIFICATIONS:

Minimum Qualifications:
  • Supervisory experience
  • Customer service experience
  • Experience working with diverse populations
  • Experience working in a variety of computer software platforms
Desired Qualifications:
  • Experience working in libraries
  • Experience with inter library loan platforms and procedures
  • Experience working with office equipment
Knowledge, Skills, and Abilities:
  • Knowledge of library services processes, i.e., circulation desk and interlibrary loan and document delivery.
  • Ability to work independently under a variety of complex rules and regulations.
  • Ability to work collaboratively with faculty, administrators, students and staff from diverse socioeconomic backgrounds.
  • Skilled with computer hardware (e.g. personal computers, printers, and scanners) and software (e.g. Microsoft Office and library service systems).
  • Excellent interpersonal skills, including written and oral communications.
  • Mature and sensible judgment with ability to handle unanticipated situations, when serving as sole staff member.
