INTRODUCTION:

The Registrar's Office at the University of Wisconsin-Whitewater seeks a Veteran Services Certification and Office Manager (University Services Program Associate).

JOB DUTIES:

The Veteran Services Certification and Office Manager provides service to the academic community and the Office of the Registrar by providing outstanding service to our veterans and students, the campus community, and the public. The Veteran Services Certification and Office Manager assists our veteran, veteran spouses, and veteran dependent students with accessing their federal and state education benefits. The Veteran Services Certification and Office Manager is responsible for maintaining a high level of knowledge about Federal and State veteran benefit regulation and programs to ensure our benefit-receiving students are obtaining the correct benefits. The Veteran Services Certification and Office Manger works in collaboration with student accounts and financial aid to ensure benefits are processed and applied in an efficient and timely manner. The Veteran Services Certification and Office Manager works in collaboration with the Coordinator of Student Veterans & Military Services to design and develop programming as needed for students receiving veteran educational benefits. The Veteran Services Certification and Office Manager provides effective management of the Registrar’s operating budget, assists with office administrative functions, and assists the registrar on budgetary issues. The Veteran Services Certification and Office Manager works with other Office of the Registrar’s staff to ensure excellent service to the University community and by performing other duties as assigned. The individual in this position is a member of the Office of the Registrar team and works cooperatively with other office staff to achieve University and Office of the Registrar’s goals.

This position reports to the Registrar.

QUALIFICATIONS:

Minimum Qualifications:

  • Associate’s degree or three years’ experience working in an office environment
  • Three years of customer service and office support function experience
  • Three years of experience working with software applications including website management software, Microsoft word and excel, and other common software applications
  • Demonstrated experience managing and reconciling budgets
Desired Qualifications:
  • Bachelor’s degree relevant to the qualifications and responsibilities described in the position description
  • Experience with business process analysis
  • Experience working with veteran educational benefits
  • Experience in higher education
  • Experience with PeopleSoft software
  • Experience with financial software (e.g. Peachtree)
  • Strong knowledge of general office policies and procedures
  • Experience interpreting, explaining, and applying complex regulations such as FERPA and veteran benefit regulations

  • Strong interpersonal and written communication skills; demonstrated ability to interact effectively with a wide range of people/stakeholders

RESPONSIBILITIES:

45% A. Provide educational certifying services to our service members by:
  1. Ensuring students understand the process for requesting the use of their veteran educational benefits and the deadlines for submission.
  2. Managing the timely reporting for the Federal and State Military Tuition Assistance programs.
  3. Interacting with the appropriate university, state, and federal officials to resolve issues with certifications and verifications of student veteran records.
  4. Researching issues to determine the best solutions.
  5. Working closely with other campus staff to provide high-quality service to our students receiving veteran educational benefits.
  6. Assisting and maintaining accurate lists of students receiving veteran educational benefits.
  7. Providing lists of students to appropriate offices to ensure proper application of veteran educational benefits.
  8. Working within current resources to develop innovative and practical solutions to issues as they arise.
  9. Assisting students to help determine the proper use of their veteran educational benefits.
  10. Providing service from the Office of the Registrar and Veterans & Services Members Lounge.
  11. Maintaining appropriate records per Department of Veteran Affairs’ guidelines.
  12. Maintaining and updating the Veterans Services portion of the Office of the Registrar’s web site.
  13. Utilizing technology resources to ensure efficient procedures.
  14. Documenting all processes, procedures, and policy to ensure efficiency and understanding of The Office of the Registrar’s veteran certification operations.
  15. Representing the Office of the Registrar on veteran issues and at conferences.
  16. Supervise student staff assisting with veteran educational benefits.
  17. Maintaining an operational manual.
35% B. Provide administrative and budget management support by:
  1. Developing thorough working knowledge of university financial systems features and functionality.
  2. Monitoring and maintaining records on all budget accounts.
  3. Handling all cash deposits.
  4. Assisting the office with ordering supplies, supporting personnel searches, and administrative operations.
  5. Ensuring all budgetary review processes are followed and support the registrar with budgetary issues.
10% C. Provide Office Support by:
  1. Assisting with office operations as needed.
  2. Maintaining and updating the Office of the Registrar’s website including: operational calendars; academic, registration, schedule of classes, etc.
  3. Maintaining calendar information on the university calendaring systems.
  4. Assisting with orientation operations and commencement.
  5. Support student staff as needed.
10% D. Support the morale and efficiency of the Office of the Registrar by:
  1. Attending and participating in staff meetings.
  2. Providing excellent service to students, faculty, staff, and all in the University community.
  3. Serving on teams and committees as assigned.
  4. Working cooperatively and positively with other staff members and with the University community.
  5. Attending training and professional development as assigned.
  6. Participating in other projects and duties as assigned.
  7. Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds.
  8. Willingness and ability to be an active participant in following applicable safety rules and regulation, including necessary training and drills.
