INTRODUCTION:

The Department of University Health and Counseling Services seeks a Medical Assistant II. The department is looking for both a part-time (summer's off) and a full-time position. Please specify if you are interested in full- or part-time (summer's off) work in your cover letter.

JOB DUTIES:

The position participates as a team member in overall activities for University Health and Counseling Services. Areas of responsibility include Patient Care, Clinic, Administrative Support, Health Service Reception/Medical Records, Laboratory, and Health Education. This position reports to the Health Services Director. This position assists in maintaining a well-stocked clinic, attain and maintain technological/computer skills education and participate in continuing education to maintain proficiency in Medical Assistant duties and as a UHCS team member.

QUALIFICATIONS:

Minimum Qualifications:

  • Certificate from a medical assistant program.
Knowledge, Skills and Abilities:
  • Prefer educational background as a Medical Assistant or has demonstrated experience and work in that role at an outpatient clinic
  • Prefer certification or license as a Medical Assistant, or is eligible for certification/license
  • Knowledge of medical terminology.
  • Demonstrate ability to prioritize and perform multiple tasks and adapt to change
  • Ability to work independently under a variety of complex rules and regulations.
  • Ability to exercise sound judgment and discretion under a variety of complex rules and regulations
  • Ability to maintain sensitive and confidential information.
  • Ability to work collaboratively with diverse constituents: faculty, administration, students, staff, and parents.
  • Skilled in Microsoft Office, Word, and Excel.
  • Ability to learn and use EMR.
  • Ability to handle crisis situations in a sensitive manner.
  • Excellent oral and written communication skills.
  • Ability to stand/walk for up to eight hours per/day required.
  • Ability to bend, stoop, twist, assist patient in turning; assist patient in arising from exam table required.
  • Ability to see at near, mid and far range required.
  • Ability to speak and hear in person and on the telephone required.
  • Ability to perform fingering and handling with both hands required.
  • Ability to push wheelchair patients required. Ability to assist patient in rising from, transferring and returning to wheelchair required.
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills.
  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds.
RESPONSIBILITIES:

35%   A. Patient Care
  1. Greet students, visitors, and staff in a friendly, courteous, and professional manner.
  2. Escort patients to exam rooms, measure weight and height, take vital signs (temperature, pulse, respiration and blood pressure and other needs associated with the presenting problem), review history.
  3. Based on patient’s health-care needs, set up room and prepare patient for exam. This includes and is not limited to: provide gown, initiate ordering and collection of lab specimens, fill in EMR, vision screens, set up medical equipment and supplies and assist patients with same.
  4. Initiate the EMR (electronic medical record) entering and signing appropriate sections. Make accurate observations and convey to provider (Physician, Nurse Practitioner) in a confidential manner.
  5. Assist provider with illness, injury and well care exams, treatment, and minor surgery by positioning patient, preparing instruments, cleaning wound area, retraction and exposure of site for provider, handing instruments to provider, bandaging wound, applying principles of aseptic technique and infection control. When not needed in exam room, remain in close proximity and readily available to assist provider.
  6. When ordered, perform additional assessments/procedures, such as collection of and order for lab specimens, perform EKG, peak flow and spirometry.
  7. Per medical order, provide other treatments or procedures, including and not limited to nebulizer, ear lavage, suture/staple removal, wound care.
  8. Instruct and demonstrate therapeutic techniques to patients (ex. Inhaler, Crutch, cane use). Apply orthopedic devices after evaluation.
  9. Measure, administer and record injected medications, tests (ex. Tuberculin) skin tests, immunizations, antibiotics, Depo-Provera. Watch for reactions, provide basic patient education and hand out materials as indicated by ordering provider. Participate in immunization clinics, well care clinics when assigned.
  10. Assist with reproductive care visits as needed, including method instructions and refill procedures.
  11. After completion and documentation of training, maintenance and documentation of proficiency, and under provider supervision/direct order and/or per written protocol, start IV’s, manage meds, administer allergy injections, PPDs.
  12. Following UHCS protocol and student’s allergist orders, precisely administer and document allergy shots, assess site after allergy shot; be prepared/respond to allergic reactions.
  13. Recognize and respond to emergent needs within level of training and capability, including CPR, AED, Heimlich, and other emergency responses. Initiate and or facilitate admission to day room, initiate flow sheets, record vitals, call 911 when indicated or as instructed.
  14. Identify community resources available to assist in resolving patient’s problems, and communicate them to the patient and assist in providing up to date references.
  15. Provide special assistance for students with physical disabilities: assist in transfers using good body mechanics, position patient for proper body alignment, assist in care of decubitus ulcers, debriding, special dressings, and assist in management of bowel program and urinary drainage system/catheter and collection container.
35%   B. Clinic & Administrative Support
  1. Conduct inventory, order and maintain medications, medical/clinic supplies, hand-outs and forms according to UHCS guidelines, utilize appropriate vendor. Confirm that ordered supplies are received and are correct.
  2. Clean, sterilize, and perform basic maintenance on equipment, to insure safe and proper functioning.
  3. Oversee exam room, procedure and day room cleaning, and disposal of medical waste, stocking daily, weekly, and end of day clean up. Provide supervision and training of student personnel to assist in the above tasks.
  4. Utilize the EMR for direct patient care data entry.
  5. Carry out procedures defined for the dispensary-room assignment and medication refills, including dispensing medications, patient teaching, recording in logs, and entering coding and billing detail into the EMR.
  6. Participate in Quality Assurance activities. When authorized, participate in writing, updating and maintaining procedure manuals, meeting accreditation requirements and initiating and/or contributing to QA studies as assigned.
  7. Recognize and follow local, state and federal risk management and safety procedures.
  8. Recognize and meet professional credentialing including continuing education requirements.
  9. Maintain skill check lists for Front Office/reception, MA clinical and laboratory functioning.
  10. Participate and contribute in staff meetings and other work groups as needed. Perform minute taking function as assigned. Participate in the development and implementation of systems to improve the efficiency and quality of work in UHCS.
  11. When indicated, obtain immunization history, consents, release of information forms and scan into EMR. Enter reminders into EMR as indicated.
  12. Use electronic technology to receive, organize, and prioritize information and assignments, including template, custom reports, and clinical notes; create and run reports and basic data analysis using EMR.
  13. When authorized, oversee the electronic medical record (EMR) scheduling templates and daily updates of health service staff per guidelines.
  14. When authorized, utilize the EMR to schedule staff for daily assignments and appointments on a semester basis, update per staff availability and using templates and other EMR functionality. Create written daily schedule for facility.
  15. When requested, provide data and other appropriate materials for major reviews, reports and projects related to the health service
  16. When authorized, hire, train, schedule, assign and supervise student workers on a daily basis.
15%   C. Reception/Medical Records
  1. Maintain confidentiality of patient records, verbal communication and any other forms of personal health information (PHI).
  2. Maintain close working relationship with Health Services Director, Program Assistants, and direct care staff members regarding timeliness, scheduling conflicts, records management, and other related concerns.
  3. Utilize the EMR for scheduling appointments, patient check in; monitor patient arrivals via the EMR and other functions as directed.
  4. Oversee health service lobby regarding patient self-check-in at kiosks. Maintain oversight of patients’ status (and other occupants in lobby) and intervene as needed to assure privacy, confidentiality and appropriate traffic flow.
  5. Perform scheduling process for walk-in requests, update patient registration and FPOS eligibility at each encounter.
  6. Coordinate patient notification to Direct Care staff including verification of forms, charts, and provider information.
  7. Utilize the EMR for patient check-out, receive payment or process billing and provide receipt, using scheduling software and other pertinent records.
  8. Perform referral scheduling with external providers, X-ray appointments, lab and other appointments at provider request.
  9. Receive, answer, and transfer telephone calls in a courteous, timely, and professional manner. Respond to general inquiries regarding services, hours, patient care, patient billing, and insurance.
  10. Assist with equipment loan process and return of loaned items.
  11. When indicated, maintain, pull and file patient records.
  12. Per procedure, process medical records release requests.
  13. Perform general clerical responsibilities as assigned.
10%   D. Health Education
  1. Assist with patient requests for health information.
  2. Provide advanced patient education/ health related information within level of training and authority including basic nutrition and side effects of medications.
  3. Promote UHCS at Wellness fairs, new student recruitment, orientation and other campus/community events.
5%   E. Provide Laboratory Support for Medical Technologist
  1. Perform quality control steps for any waived tests required to perform
  2. Perform waived laboratory procedures, such as urinalysis, rapid strep, mono and pregnancy tests. Perform phlebotomy as needed for specimen collection
  3. Enter results into EMR
  4. Prepare specimens for sending to reference labs
  5. Perform other lab maintenance as needed when serving as lab back-up
5%   F. Other
  1. Learn to use and develop new computer competencies as needed in performing assigned responsibilities including the EMR.
  2. Meet professional continuing education requirements.
  3. Participate in organizational committees as assigned.
  4. Participate in the development and implementation of systems to improve the efficiency and quality of work in UHCS.
  5. Perform other duties as assigned.
