INTRODUCTION:

The Human Resources & Diversity department at the University of Wisconsin-Whitewater seeks a HR Assistant.

Under the general supervision of the Employment, Recruitment & Compensation Manager and the Chief HR Officer this position is responsible for support functions for talent acquisition and employment, providing high quality, professional human resource assistance to the HR Business Partners and the Employment Recruitment & Compensation Manager. This position requires exceptional customer service, confidentiality, tact and discretion.

JOB DUTIES:

55% A. Talent Acquisition Management (TAM) and Recruitment Support

  1. Oversee talent acquisition data entry and postings for recruitments, completion of close-outs and auditing of files.
  2. Provide ongoing analysis and edits to the TAM Recruitment process instructions, forms, and webpage.
  3. Coordinate appropriate centralized advertising for recruitments.
  4. Assist with Recruitment Kick-off presentations and questions.
  5. Maintain UW-Whitewater employment and TAM landing pages.
  6. Attend job fairs and coordinate follow-up with attendees.
  7. Collect and report data on effectiveness of advertising sources.
  8. Provide campus support of TAM-related questions and inquiries.
  9. Assist with communication and onboarding of candidates upon notification of offer.
  10. Verify employment status for candidates upon notification of verbal offer and assist with reference checks.
35% B. Employee Hire / Rehire, Termination, Status Change
  1. Coordinate New Employee Paperwork (NEP) and related hiring requirements.
  2. Track, maintain and report on probationary periods and evaluation deadlines.
  3. Complete resignation, termination, and retirement functions.
  4. Provide assistance with on-boarding and off-boarding presentations.
  5. Assist with training, fielding campus inquiries and processing Change of Status and Employee Rehire requests.
  6. Coordinate and administer USTE staffing process.
  7. Assist with seasonal employment needs, including summer session/service, fall and spring rehires.
  8. Update/maintain HR web-based landing pages for Change of Status, E-Rehire, etc.
10% C. Miscellaneous duties as assigned
  1. Assist with projects and miscellaneous duties as assigned.
  2. Provide back-up and support for Summer Camp and Student Hiring processes.
  3. Represent HR & Diversity on committees as needed.
QUALIFICATIONS:

Minimum Qualification(s):
  • Associates degree or two (2) years of progressive work in human resources or a closely related area
Knowledge, skills, and abilities:
  • Excellent customer service and interpersonal skills that include the ability to work in a team environment, across teams and with outside stakeholders utilizing problem solving skills, negotiation, persuasion, tact and conflict resolution techniques
  • Ability to initiate, prioritize, plan, anticipate and carry out duties both within a team and independently with minimal supervision
  • Manage multiple assignments successfully in a fast-paced changing environment
  • Ability to complete tasks within critical deadlines while adhering to policies and guidelines
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Demonstrate understanding of, sensitivity to, and respect for the diverse, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of students, faculty and staff
  • Willingness and ability to participate in following applicable safety rules and regulations, including necessary training and drills
