INTRODUCTION:

The Department of Parking Services at the University of Wisconsin - Whitewater seeks a Parking Office Associate (Office Operations Associate).

JOB DUTIES:

Under the general supervision of the Parking Manager, who reports to the Assist Chief of Police, who reports to the Chief of Police, this position provides front office support for Parking Services. This includes providing customer service to students, faculty/staff, guests, departments and administrators. Customer service duties include responding to oral and written requests for information regarding parking rules, regulations and the various permit options. Conflict resolution skills are required.

Other duties include coordinating the parking appeals and the scheduling of front desk student workers. This position is also responsible for maintaining and updating the Parking Services website, incoming and outgoing mail, and serving as back up to the Parking Manager.

40% A. Customer Service

  1. Provide service to customers who visit the Parking Services office or make contact via e-mail or the phone. Possess knowledge about parking rules, policies and permits to effectively answer questions and explain the University Parking Regulations to customers (employees, faculty, students and guests/visitors) and advise them of the various parking and permit options available.
  2. Issue correct permits and collect payment for permits and tickets.
  3. In a professional manner, resolve conflicts with students, parents, faculty, staff, and visitors regarding citation and permit problems and complaints.
  4. Cancel or reduce parking fines in accordance with established procedures.
30% B. Administrative Duties
  1. Assist with reconciliation of daily registers from permit and citation revenue middle and end of day.
  2. Daily perform in opening the office, including but not limited to opening the safe, cash drawer, and printing of daily permits.
  3. Coordinate and maintain training of student workers for front desk and delegate work assignments to students as appropriate.
  4. Ensure PCI Compliance training is completed by front desk student workers.
  5. Prepare work schedules for front desk student workers.
  6. Prepare payment request for invoices, refunds, and shared revenue requirements.
  7. Collect and process payments for vehicle license plate registration.
  8. Coordinate and submit chargebacks for services provided.
  9. Maintain inventory of office supplies and other products required for the needs of Parking, such as permit and ticket supplies.
  10. Maintain listing of office equipment and routine maintenance.
  11. Co-monitor and manage the Parking e-mail account.
  12. Ensure Event Calendar is kept up to date.
  13. Maintain and update Parking Services Office Policies and Procedures materials.
  14. Assist Parking Manager in the preparation of data requests.
  15. Serve as back up to the Parking Manager during absences due to meetings, conferences, vacations, etc. This includes performing daily reconciliation of deposits, answering any questions or requests.
  16. Manage, maintain, and train on the Bike Share program.
10% C. Website Coordination
  1. Update, maintain, and troubleshoot, the Parking Services website in a timely manner.
  2. Determine appropriate information to post on the website based on customer needs.
10% D. Maintain Parking Citation Appeal Process
  1. Coordinate the parking appeal process by determining if appeals meet the necessary criteria to be voided per parking policies. Prepare and process appeals.
  2. Maintain files on all appeals. Notify the registered owners of the vehicles, when known, for all appealed citations that resulted in a denial.
10% E. Miscellaneous Duties
  1. Prepare and process permit, citation, and other reports as requested, requiring knowledge of database operations (i.e., AIMS) and utilizing Excel spreadsheets.
  2. Assist in inputting and maintaining permit and citation information into the AIMS database.
  3. Update the yearly Parking brochure and assist with e-mail or print material verbiage for informational purposes.
  4. Ensure front desk area is clean and organized.
  5. Other duties as assigned.
QUALIFICATIONS:

Minimum Qualifications:
  • High School Diploma
  • 2 years of customer service related experience
Knowledge, Skills and Abilities:
  • Ability to exercise good customer service skills
  • Ability to maintain a calm, pleasant and professional demeanor at all times
  • Possess good oral and written communication skills, including the ability to speak in front of committees
  • Ability to use Microsoft Office, Excel, Word
  • Ability to learn and use software (e.g. AIMS, PeopleSoft, e-Time, etc.)
  • Ability to maintain a website (e.g. Ingeniux CMS)
  • Comprehensive knowledge and understanding of Parking Rules and Regulations; possess the ability to explain the reason behind the rule or regulation
  • Ability to meet deadlines
  • Ability to maintain records and documents in an accurate and organized manner
  • Ability to perform duties of the Manager and co-workers in their absence
  • High degree of accuracy and attention to detail
  • Maintain confidentiality of student records
  • Ability to learn and accept new or revised processes and procedures quickly
