Collaboration Room Usage Policy

Use of collaborative meeting rooms by any group signifies acceptance of the following usage policy.

Room Eligibility

  • Only UW-Whitewater students may request a meeting room. A valid UWW id is required to obtain a room.
  • Rooms are available to groups of 3 or more persons.
  • Rooms are primarily available on a first come first served basis.
  • Reservations in advance are available and preferred. See Reservations Options
  • A room may be used for up to a maximum of 3 hours
  • The group activity should be academically related. Rooms are not to be used as study rooms. Rooms are not to be used for entertainment.
  • There is no charge for using a meeting room, however charges will be incurred for damaged equipment that needs to be replaced or repaired.

Room Reservation Options

  • Rooms may be reserved by calling 262.472.1994 during open lab hours or through the lab attendants on duty at Andersen Lab.
  • Rooms may be reserved up to one week in advance before scheduled use.
  • A room preference can be requested, but is not always guaranteed depending on availability. Circumstances may required us to move reservations to a different, yet similar, room.
  • Failure to show up 10 minutes after the reserved time forfeits the reservation.

Room Check-Out and Check-In

  • Every group needs to check-in with the lab assistants prior to the using the room and turn in at least one valid Student ID. The return and care of the equipment is bound to the owner(s) of that Student ID(s).
  • Bringing special equipment into the room will need prior approval.
  • Every group needs to check out with the lab assistant and return all equipment/accessory in good condition. Student ID will be returned at that point. Any fees for damaged or lost equipment will be charged at that time
  • Assistance and training on use of facilities is available from the lab attendants on duty.

Care and Use of Facilities

  • Please leave meeting rooms as they are found. If the furniture is rearranged, it should be returned to the original arrangement at the end of the meeting.
  • The individual making the reservation, as well as the members of the group, will be held responsible for any and all damages that may occur as a result of the use of the facilities.
  • No Food or Drink allowed in rooms.
  • Permission to use the meeting rooms may be withheld from groups failing to comply with the Meeting Room Policy and from any group that abuses the room, carpet, equipment, or furniture, or causes a disturbance to other lab patrons.
  • Rooms are routinely monitored by lab staff.
  • Meeting rooms must be completely vacated fifteen minutes prior to closing.

Equipment available for Room D Collaboratories

  • A desktop computer connected to projection equipment and the Internet. This computer has the same software as a lab computer, with addition of the Smartboard software where applicable.
  • A projector connected to the Desktop computer and a Smartboard.
  • A Smartboard for projection, collaborative note-taking. [Please see lab assistant to check out Smartboard accessories, and using the Smartboard] A Smartboard user manual will be available upon request.
  • Laptop computers (PCs and Macs) are available for checkout for the duration of the room use.
  • Wireless connection to the Internet is available in all collaboratory rooms. You are encouraged to bring your own laptop.
