ITSE Student Hiring Instructions

Supervisors must complete hiring paperwork before allowing students to begin work on campus.

Hiring Instructions

The following forms must be completed and returned to ITSE for all students new to the payroll system:

Keep a copy of the completed forms for your records and send the originals along with the Hire Authorization Form to:

Returning students may be listed on the same Hire Authorization Form, however, no additional hiring paperwork is necessary.

Supervisors are also encouraged to have students sign the Student Employee Work Rules, UW-W Info Systems Compliance Form and the FERPA Release of Information Form, however these forms remain in the Supervisor's file for their own records.

Conditions of Employment

Students must be enrolled at least half-time (6 credits for undergraduates, 4.5 credits for graduates) to remain employed on campus. If a student drops below half-time status they will be removed from the payroll system. During enrollment periods, student employees may not exceed 30 hours per week. This includes the total hours worked for all campus jobs as well as training hours. International students may not work more than 20 hours per week. However, all students are eligible to work up to 40 hours per week during break periods. It is the responsibility of the student to keep track of all hours worked.

Direct Deposit

Beginning Fall 2004, all students must sign-up to receive Direct Deposit for their earnings. Direct Deposit Authorization Forms should be returned in a timely manner so that ample time is given for bank processing. Earning statements are available on line at http://my.wisconsin.edu/.
