Enterprise Content Management - ImageNow
To manage the university's vast paper records, iCIT oversees projects related to ImageNow, the software program that assists in document imaging to scan paper documents while keeping a digital image of the scanned document and storing it on a file.
Background
ImageNow deployment started in 2004 in the Registrar's office, which had an immediate need to image old transcripts. Shortly thereafter, the Financial Aid office began using ImageNow, linking ImageNow data with live records in PeopleSoft. In another six months, Admissions and Grad Studies came up on the system. Admissions introduced the need for remote access. The four offices overall worked in tandem, their needs revolved around student record administration. In Spring 2007 HR and Financial Services decided to implement ImageNow functionality.
Governance
The ImageNow Governance Group (INGG) provides formal oversight to ImageNow process and projects. This committee addresses roles and responsibilities, internal communication issues, coordination with the vendor. The specific responsibilities of the group are a follows:

Communication with all parties

Acting as representatives for campus offices using ImageNow

Overseeing security administration within the system

Setting schedules for patches, fixes and system downtime

Handling licensing, purchasing, contracting and costs

Developing processes for interaction with the vendor

Identifying options and developing processes to distribute ImageNow materials

Prioritizing the groups' tasks

Planning for the future, including the addition of new offices
