Job/Project Description
The Administrative & Promotional Intern assists the Executive Director in initiating and advancing a wide range of projects and activities to facilitate the mission and vision of the Milton Area Chamber of Commerce, Industry, & Tourism (MACCIT). The intern shall perform a variety of clerical, accounting, and administrative tasks. This is an "at-will" position. Responsibilities include the following, with other duties assigned at the discretion of the Executive Director to advance the goals and objectives of the organization:

Office & Administrative:

  • Public interaction and communication via telephone, email correspondence, and direct personal contact with visitors, residents, businesses, and Chamber members.
  • File and maintain documents and records.
  • Assist with record keeping.
  • Maintain master files for board meetings, committee meetings, and member database systems and lists.
  • Prepare and distribute office correspondence and visitor and information packages.
  • May attend board meetings, committee meetings, organizational events, and receptions.
  • Assist in preparing agenda and packets for meetings.
  • Monitor all legislative, media, and demographic information that may influence the goals and objectives of the organization.
  • Assist in monitoring, recording, and processing invoices and bills.
  • Assist in maintenance of current member and non-member lists.
  • Open and distribute mail.
  • Maintain and stock the office reception area.

Event & Tourism Assistance:

  • Assist in preparation and logistics for MACCIT events.
  • May attend MACCIT events (may require some after hours or weekend hours).
  • Maintain event records (# of attendees, sponsors, etc.).
  • May assist in advertising for events under the direction of the Executive Director.
  • Obtain sponsors and raffle donations, and maintain records of these events.
  • Assist in brochure distribution of the Milton Guides.

Marketing & Promotion:

  • Assist in creating, maintaining, and updating current marketing materials including: brochures, membership applications, new member packets, etc.
  • Assist in maintaining community calendar of events.
  • Assist in website maintenance, including updates.
  • Assist in creation and distribution of monthly newsletter and email updates.
  • Assist with creation of Tourism posters.
  • May assist in creating press releases on events or MACCIT activities.

Finally, attend and participate in Chamber activities (may require after 5:00pm and/or before 8:00am events).

This SPRING/SUMMER internship is a PART-TIME position at approximately 15 HOURS/WEEK. The internship is PAID at $10.00/HOUR. This internship has an approximate START DATE of JANUARY 5, 2009 and an END DATE of AUGUST 28, 2009. There is a possibility of continuing this internship through the fall 2009 semester.

Qualifications

Education/Experience:

  • Wisconsin GED or equivalent.
  • Familiarity with office procedures, business administration, commerce, and customer service a significant asset.
  • Knowledge of graphic design and/or website skills is a plus.
  • 2.5 minimum cumulative GPA (Hawk Internship Program Requirement).

Abilities Required:

  • Ability to define problems, collect data, and establish facts.
  • Very good organizational skills.
  • Computer knowledge (word processing, Microsoft Office, Microsoft Access) and typing skills required.
  • Familiarity with Microsoft Publisher a plus.
  • Time management and excellent communication skills a must.
  • The employee is occasionally required to lift up to 25 pounds.
  • The employee is required to drive a vehicle and must have a valid Wisconsin driver's license.

MANDATORY HIP Career Development Activities
The Hawk Internship Program (HIP) includes the MANDATORY completion of a series of career development activities designed to help interns get the most out of their internship experiences. The student hired for this HIP opportunity (a "Hawk Intern") must complete the following activities:

  • Meet with Internship Coordinator Laura Jacobs (Career & Leadership Development) BEFORE beginning work at the internship site. Expectations will be reviewed, and you will be expected to sign an agreement indicating that you understand and will abide by those expectations.
  • Complete a Statement of Intent, a one to two page paper discussing your interest in and goals for the internship. You will also write up a Learning Contract with your site supervisor.
  • Midway through the internship, the Internship Coordinator will conduct a Progress Review, checking in with you and your supervisor.
  • Complete a Reflective Summary, a two page paper reflecting on your internship experience.
  • Compete an Evaluation of the employer.

Hawk Interns who complete all of these activities will not only have a true internship experience, but they will also receive a certificate of internship completion from the university.

This is a not-for credit experience. Hawk Interns who wish to seek academic credit for their HIP internship must speak with the faculty internship coordinator for their major. In order to earn academic credit, you may need to meet certain academic or other prerequisites (ex. higher GPA, previous coursework). About the Milton Area Chamber of Commerce, Industry, & Tourism (MACCIT)
The Milton Area Chamber of Commerce, Industry, & Tourism's (MACCIT) mission is to provide membership services to businesses in the Milton community, enhance tourism in the Milton area, and market and recruit new business and development. Above all else, MACCIT's commitment is to preserve and improve the Milton community as a great place to live, work, and play.

MACCIT began as a merger between the Milton Industrial & Economic Development Committee (MIEDC), the Tourism Development Committee (TDC), and the Milton Area Chamber of Commerce (MACC). TDC was intended to promote and develop tourism within the Milton city limits. MIEDC provided marketing of the City of Milton and worked on projects related to non-downtown commercial and industrial development, particularly in regard to the East Side Industrial Park. MACC was a membership organization for local businesses. There was a concerted effort on behalf of these entities to work collaboratively and the consolidation concept emerged.

MACCIT membership is open to Milton area businesses. Benefits of membership include: marketing and promotional opportunities, member communications, networking events, business watch, and cooperative advertising, among others. MACCIT consists of three main committees (economic development, member services, tourism & events) and a board of directors. Promotional materials include: membership directory, Milton tourism guide, land use map, newsletter, and a nwe MACCIT website (coming soon). MACCIT also hosts many events, both for members and the community, including: Business After Hours, Christmas Walk, Bowling & Casino Party, Chicken BBQ, and the Greater MACCIT Golf Open.
