Meeting Minutes
November 13, 2008

The purpose of the meeting was to review the screening process for the Provost search and to answer any questions of the committee. John reviewed items such as finding the Provost Search website, the use the Candidates Evaluation form as a tool to help rate applicants (a sample was provided with the agenda), and answered questions that the committee may have had regarding the vitas/resumes of the applicants.
A sample vita was distributed so the committee could review key items to search for in applicant vitas. Some key items include:
- Length of time spent at institution
- Experience at least at a dean level, but not exclusively
- Gaps in employment
- Organization of vita
- Evidence of experience/accomplishments
- References – are they professional
- Work with outside constituencies
A question was raised about tenure; specifically, does the applicant have to be able to be tenured to a department that we have on campus? (no) A second question: are there any absolutes for the applicants? (yes, increasing administrative experience/accomplishments)
John next reviewed the Cumulative Rating form, also sent to the committee as an attachment with the agenda. By December 5th at 4:30 p.m., all committee members should forward, via Survey Monkey, the top ten applicants, unranked. These top ten will be used for the December 10th committee meeting.
The December 10th working lunch will be held from Noon – 2:00 p.m. to select the preliminary list of finalists.
The next phase of the search process will consist of the final screening, to be completed mid-December through mid-January. John has pre-assigned five teams, each with a team leader who will be responsible for arranging the schedules of their team members and for scheduling the conference calls. Each team will contact at least three of the five applicant references, with at least two of the three team members present for each call. These will be, optimally, twenty-to-thirty minute interviews. A list of possible reference check questions was attached to the agenda. Feedback on the list of questions should be sent to John by Tuesday, December 9th.
The final screening meeting will be held in mid-January (date to be determined).
