ATTENTION:
The Offices of Institutional Research and Planning and of Academic Assessment at the University of Wisconsin - Whitewater seek a shared Project Coordinator (AD035).
Academic staff positions are provided fixed term appointments with annual renewals unless otherwise noted. Reappointment for subsequent terms is dependent upon performance, university funding and external forces.
JOB DETAILS:
This position provides project and office management support to both the Office of Institutional Research and Planning and the Office of Academic Assessment. The coordinator manages and tracks progress on projects related to compliance, assessment, data, and publications. The individual holding this position must maintain a high level of attention to detail, discretion in dealing with confidential and sensitive issues, and a professional demeanor.
QUALIFICATIONS:
Minimum Qualifications:
- Two years of professional work experience managing projects or a professional office environment
- Experience in the use of Microsoft suite of programs such as Word, Excel, and PowerPoint
- Bachelor's degree
- Experience with file management (such as online survey software (Qualtrics), and website management systems)
- Demonstrated ability to analyze tasks and projects, assist in identifying component tasks and developing project timelines
- Demonstrated ability to work independently, find information and solve problems effectively, and exercise good judgment in completing tasks and projects
- Experience in a higher education environment
- Knowledge and skills in assessment and evaluation, data management and reporting
- Highly organized with good attention to detail, able to manage multiple priorities at the same time, and able to meet deadlines
- Knowledge of and experience with standard office methods and procedures
- Excellent written and oral communication skills
- Demonstrated ability to support a team of professional employees
- Ability to exercise confidentiality and discretion in all aspects of the position
- Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
- Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds
This position provides a high level of administrative support to the Chief of Institutional Research and Planning. and to the Director of Academic Assessment. The incumbent also supports the work of professional staff members within the office and manages office tasks.
80% A. Project Coordinator
- Develops, schedules, coordinates, and prioritizes project work plans in accordance with specifications and resource limitations
- Enhances and maintains operational standards and systems to support projects (for this position it woufd be defined as maintaining operational standards related to accrediting and compliance bodies, as well as those set forth by each office)
- Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions
- Monitors and coordinates project budgets versus actual expenditures and budget reporting
- Serves as the initial point of contact for the project, serves on committees, and attends meetings representing the interests of the project(s)
- Assist with organizing workshops, events, and meetings, including scheduling, tracking expenditures, and preparing materials
- Purchasing: maintaining inventory and ordering supplies, renew subscription memberships, software contract documentation and renewals, procurement logs
- Budget tracking and reconciliation: attend Budget Managers Meetings and Campus Business Representatives meetings, track expenditures, reconcile office budgets monthly and anticipate expenditures in coordination with office staff
- Manage scheduling
- Travel Arrangements: coordinate travel for staff
- Website maintenance: Refresh Institutional Research and Planning reports available on a regular cycle, and maintain assessment schedules and final reports
- Office maintenance: ensure conference room is presentable, maintain copier in working order, supplies are stocked, and common spaces are maintained.

COMPENSATION AND BENEFITS:
Well-qualified candidates can expect a starting annual salary within a range of $40,000 - $50,000.
