The Office of the Chancellor seeks a full-time Program Assistant-Confidential (Project Position).

JOB DUTIES:
The Program Assistant-Confidential (Project Position) will support the Office of the Chancellor by providing administrative support to the UW-Whitewater and UW-Rock County Restructuring efforts and to the Chief Equity, Diversity and Inclusion Officer (CEDIO). This position reports to the Executive Assistant to the Chancellor and some travel may be required to UW-Rock County in Janesville, WI. Normal working hours will be Monday through Friday from 7:45 a.m. to 4:30 p.m.

70% UW-Whitewater and UW-Rock County Restructuring & Chief Equity, Diversity and Inclusion Officer

  • Schedule meetings and other activities for the Project Manager for UW-Whitewater and UW-Rock County Restructuring as well as for the CEDIO.  
  • Provide assistance with meeting coordination for the Regional Restructuring Team and other related working groups as needed (this would include reservations for meeting rooms, catering (as needed), agenda preparation and distribution, etc.).  
  • Provide administrative support to the CEDIO.
  • Other duties as assigned by the Project Manager and CEDIO.     
30% Office of the Chancellor
  • Provide support to the Office of the Chancellor in the following areas:  event coordination, preparing meeting materials for the Chancellor and Executive Assistant, serve as the backup for answering a multi-line phone system as needed and front desk coverage, assisting in documentation for travel expense reports and pro-card logs.
  • Other duties as assigned by the Executive Assistant. 
Minimum Qualifications:
  •     Proven ability to be detailed-oriented.
  •     Previous experience maintaining the integrity and adherence to confidential and sensitive information.
  •     Proficiency with Microsoft Office programs, including Word, Excel, and Outlook.
Knowledge, skills, and abilities:
  •     Strong interpersonal and organization skills.
  •     Strong problem-solving skills and ability to analyze situations and exercise good judgment in making a variety of decisions.
  •     Ability to work independently and effectively in a team in a fast-paced environment.
  •     Excellent oral and written communication skills.
  •     Ability to maintain strict confidentiality and work with sensitive personnel matters.
  •     Knowledge of office management practices and procedures.
  •     Ability to schedule meetings and organize logistics for events.
  •     Ability to manage budgets and financial records.
  •     Skill in organizing and completing projects.
  •     Knowledge and awareness of university functions and offices.
  •     Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds.
  •     Ability to take accurate and complete notes at large meetings.
  •     Ability to work collaboratively with administrators, co-workers, staff, students and others.
