INTRODUCTION:

The Office of the Chancellor at the University of Wisconsin-Whitewater seeks an Event Planner (Univ Conf Coordinator).

The event planner holds primary responsibility for the continuous and successful planning, execution and assessment of university-wide events including but not limited to special meetings such as the UW System Board of Regents, fall welcome events such as the campus cookout, Martin Luther King Jr. celebration events and community engagement events, to name a few. The event planner will collaborate effectively with faculty and staff for programmatic development and logistics and other members of University Marketing and Communications for the marketing and communications of the events. Performs other duties as assigned by supervisor.

This position will report to the Chief of Staff and work in collaboration with the Assistant Vice Chancellor for University Marketing and Communications or their designee. JOB DUTIES:

  1. Support the university’s mission, values and vision
  2. Demonstrate excellent verbal and written communication proficiency using AP Style and strong collaboration skills
  3. Collaborate with colleagues across campus to develop event goals, target appropriate populations to maximize participation, promote events on a variety of platforms and ensure that enrollment growth and retention are factored in
  4. Understand UW System and UW-Whitewater Foundation policies related to budget for events
  5. Manage multiple projects to consistently meet project deadlines
  6. Evaluate each event and prepares comparative report and analyses, making recommendations for future program improvements
  7. Demonstrate exceptional organizational skills and accuracy
  8. Work under minimal supervision
  9. Employ strong technical skills and ability to produce outcomes reports and data-driven recommendations for program improvements
  10. Coordinate staff and student program volunteers/participants
  11. Provide assistance with event coordination at the Innovation Center
QUALIFICATIONS:

Minimum Qualifications:
  • Proficiency in all Microsoft Office software and Google Drive
Desired Qualifications:
  • Bachelor's Degree in marketing, communications, or a related field
  • Three years event planning and project management experience
Knowledge, Skills and Abilities:
  • Must be a dedicated, motivated team leader and team member, invested in developing excellence in event planning while focusing on events as marketing the university’s story in authentic ways
  • Experience planning events and collaborating with myriad constituents to create purpose-driven events that exceed attendees’ expectations
  • Demonstrated history of positive interpersonal skills and an ability to juggle multiple demands, meet deadlines and problem-solve with aplomb
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds
