INTRODUCTION:

The University Library at the University of Wisconsin - Whitewater at Rock County seeks a Circulation Supervisor (LIBRY SER ASST - ADV).

This is an internal posting for current UW-Whitewater employees. Applicants who currently are not employed by UW-Whitewater in a qualifying category (University Staff, Academic Staff, Faculty, Limited) will not be considered. After review of internal applicants the position may be opened for public application.

JOB DUTIES:

This position has responsibility for library circulation, interlibrary loan, materials processing and supervising student staff. Other duties include providing research assistance to users, performing other public and technical duties, and proctoring tests for students with documented testing accommodations. The work performed requires extensive knowledge of and experience with library practices and procedures, in addition to a significant degree of decision-making and problem-solving ability. The position supports the customer service and educational mission of the Library, works under general supervision and reports to the Academic Librarian.

40%   A. Patron Services and Reference

  1. Assist library users in resource discovery and retrieval; provide basic research assistance in the absence of an academic librarian, referring patrons to curated library electronic resources.
  2. Provide routine public service duties including the full range of circulation services; charging, discharging, renewals, generating community borrowing cards and maintaining patron records.
  3. Assist Library Support Services with lost or overdue material collection and the billing process.
  4. Supervise activity in the library and field complaints or suggestions from library users.
  5. Maintain pleasant and user-friendly library physical space.
  6. Participate in library team decision making to improve library space and services.
  7. In the absence of the CASE associate, assist students and staff with library technology and student ID card creation as needed.
30%   B. Materials and Collections
  1. Manage interlibrary loan, internal and external to the UW System, including request processing, material routing/shipping, invoicing and updating ILL software (in partnership with LSS).
  2. Oversee and/or coordinate the South Central membership libraries delivery system.
  3. Order materials including books, media, serials and supplies – communicating with LSS staff. May be responsible for the use and the security of credit cards and for maintaining invoices for incoming library supplies.
  4. Promote new library resources to students, faculty and campus staff. This may include physical or virtual displays, newsletters, emails or other promotional materials.
  5. Oversee and/or conduct the processing of new materials including adding item records or serial holdings in the library catalog.
  6. Participate in weeding of physical materials including scanning, list preparation, distribution, and disposal of discarded items via approved methods.
  7. Participate in inventory process per the institutional schedule.
  8. Oversee and/or conduct shelving and shelf reading.
  9. Manage the course reserves collection.
25%   C. Operations Oversight
  1. Provide the full range of library services and operations when other personnel are not available.
  2. Understand campus emergency procedures and assist with library evacuation, shelter, or other protocol as needed.
  3. Follow established library opening and closing procedures, communicate security concerns to a supervisor or campus administration.
  4. Recruit, interview, hire, train, schedule, mentor, supervise, and evaluate library student workers.
  5. Approve bi-weekly student electronic timesheets.
5%   D. Professional Development and Institutional Service
  1. Participate in community, campus, and/or institutional service including committee participation.
  2. Assist with institutional library projects or initiatives as needed.
  3. Engage actively in professional development by attending conferences, workshops, and/or coursework.
QUALIFICATIONS:

Minimum Qulifications:
  • Customer service experience
  • Experience teaching, training, or coordinating others
  • Computer troubleshooting experience
Desired Qualifications:
  • Experience working in a library setting
  • Experience with integrated library systems platforms
Knowledge, Skills and Abilities:
  • Knowledge and experience in customer service.
  • Ability to work independently under a variety of complex rules and regulations.
  • Ability to supervise and train student employees.
  • Ability to work collaboratively with faculty, administrators, students and staff from diverse socioeconomic backgrounds.
  • Skilled with computer hardware (e.g. personal computers, printers, and scanners) and software (e.g. Microsoft Office and library service systems).
  • Excellent interpersonal skills, including written and oral communications.
  • Mature and sensible judgment with ability to handle unanticipated situations, when serving as sole staff member.
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds
