Ergonomics

According to the Occupational Safety and Health Administration (OSHA), ergonomics is the science of designing the job to fit the employee, rather than forcing the employee to fit the job. While ergonomics is often associated with physically demanding occupations, employees in the traditional office setting are also at risk of developing ergonomic-related injuries.

Ergonomics focuses on designing workstations, tools and tasks that ensure safety, efficiency and comfort of all employees. Most adjustments will lead to decreased fatigue.

This safety program will cover identifying ergonomic hazards, recognizing common injuries and risk factors, and implementing effective work practices and injury-prevention strategies.

Ergonomics Resources

It is important to identify ergonomic risk factors that exist in the workplace. While risks can vary depending on the work environment, the following factors are commonly associated with an increased likelihood of injury:

  • Awkward postures and positions
    • Examples: standing or sitting with your back rounded or your shoulders slouched; sitting on the front edge of a chair when working; stretching to reach the phone, files or binders.
  • Environmental conditions (e.g. temperature, lighting)
    • Examples: insufficient lighting; excessively cold environments; poor workstation layout.
  • Forceful exertions
    • Examples: holding a pen or pencil with a tighter, pinched grip; slamming your palm on a stapler; hitting the keys harder than necessary when typing; clicking and holding on to the mouse harder or tighter than necessary; moving office supplies from one location to another.
  • Improper lifting techniques
    • Examples: lifting with the back instead of legs; twisting while lifting or carrying objects; holding objects away from the body; attempting to lift heavy objects without appropriate assistance.
  • Prolonged or static positions
    • Examples: sitting for more than 30 minutes at a time without taking a break or changing activities.
  • Repetitive motions
    • Examples: typing on a keyboard for longer than 30 minutes without stopping; scrolling with a mouse or constant tabbing; holding the phone between your ear and shoulder for extended periods; looking at documents that aren't in line with your computer.
  • Vibration
    • Examples: utilizing vibrating tools such as a power drill or floor buffer; prolonged use of equipment that transmits vibrations through hands or arms; exposure to excessive vibration from machinery or vehicles.

Musculoskeletal disorders (MSDs), also known as cumulative trauma disorders (CTDs), are injuries that affect the body's muscles, tendons, ligaments, nerves, joints, and blood vessels. These injuries typically develop over time due to repeated stress or overuse and are often associated with ergonomic risk factors.

Examples of MSDs and CTDs

  • Carpal tunnel syndrome
  • Tendinitis
  • Rotator cuff injuries (affects the shoulder)
  • Epicondylitis (affects the elbow)
  • Trigger finger
  • Muscle strains and low back injuries
  • Bursitis
  • Tenosynovitis

Because MSDs and CTDs develop over time, it is important to recognize early signs and symptoms to help minimize the impact or prevent further injury. The following are common signs and symptoms associated with MSDs or CTDs:

  • Muscle aches
  • Sudden or sharp pain
  • Weakness
  • Numbness, burning, or tingling sensations
  • Cramping
  • Stiffness

The following practices should be followed by UW-Whitewater employees to help reduce the risk of workplace injury.

Recommended Habits for Prolonged Sitting

  • Keep your head balanced over your shoulders and look forward.
  • Keep your shoulders relaxed and comfortable.
  • Keep your wrists straight while typing.
  • Support your lower back and avoid slouching.
  • Keep your feet flat on the floor or on a footrest.
  • Keep your forearms and thighs parallel to the floor.
  • Avoid thrusting your head forward.
  • Avoid twisting your body while typing.

General Work Habits

  • Take small, frequent breaks.
  • Switch between tasks when possible.
  • Utilize a headset when on the phone or virtual meeting for an extended period of time.
  • Keep frequently used objects within arm's reach.

Eye Strain Prevention

  • Follow the 20/20/20 rule
  • Every 20 minutes, take a 20 second break and look at something that is 20 feet away.

Breaks and Stretching

  • Take short (3 -5 minute) breaks every 30-60 minutes to allow your body to rest and recover.
  • Incorporate stretching into your daily routine. Examples include:
    • Head turn
    • Chin tuck
    • Side neck stretch
    • Shoulder stretch
    • Upper arm stretch
    • Forearm stretch
    • Chest stretch
    • Standing thigh stretch
    • Lower back stretch

Ergonomics aims to reduce pain, improve energy, and prevent long-term musculoskeletal damage through correcting your posture. Poor posture can lead to strain in the neck, shoulders, and lower back. Mindful corrections can help your overall health and improve workflow.
