Net-ID and Account Management

UW-Whitewater students and employees are assigned a unique Net-ID. Your Net-ID is the username you’ll use to access university technology resources.

  • Students receive their Net-ID when they apply to the university.
  • Employees receive their Net-ID when they are entered into the HR system (Workday). Once a Net-ID is created, employees can start using some University services (e.g. email). Other application access is dependent upon an employee's start date.

New Net-IDs are activated through an activation email sent to your personal (non-UWW) email address. When a new Net-ID is activated, you will be set a password and add recovery methods (phone number).  People returning to UWW, who have a Net-ID from previous employment or school attendance, will use the same Net-ID and may not be sent an activation email. Passwords expire every year. You will receive a notification that your password is expiring.

Getting Started with your Net-ID

  • Once an application for UWW is submitted, students are assigned a Net-ID. A Net-ID allows access to most applications and systems at UWW.
  • Before logging into UWW systems, Net-IDs must be activated. Applicants receive an activation link through an email sent to the account they used to apply. 
  • Applicants are assigned a UWW email and gain access to WINS, our student information system.
  • Your Net-ID is also the first part of your UWW email address, which may look like WarhawkUW07@uww.edu.
  • If a student does not enroll in classes, their email service will be terminated at the end of the application window. Unenrolled applicants will not receive notice before their email service is turned off. 
  • Students have access to the services after their first term is activated. A student can tell the term is activated if they are able to enroll in courses for the term.
  • If a student has graduated, services will be removed after the last active term is complete and the degree is posted.
  • If the student is dismissed or discontinued, the services will be removed after the last active term. This will enable students with incompletes to maintain services while completing their courses.
  • Students have access to these services on the first day of their first term.
  • Suspended students are immediately removed from the Whitepages.
  • Student access will be removed after their last active term. If a student has a dismissed or discontinued status, the student will be removed if they are not actively enrolled in a course by the census date.

Students who have graduated or completed will receive lifetime access to the services with a green checkmark in the "Completed" column below. Graduates retain access to email for 6 months post-graduation.

  • Net-IDS are created after an employee is hired. No services are offered to applicants.

Most technology services are enabled for employees upon their date of hire. All campus employees receive subscriptions to LinkedIn Learning, Office 365 for their personal computers at no charge.

Role-Specific Services

The level of access to campus business systems is determined by the individual's role. Employees who change positions, but remain at UW-W will have their access levels adjusted upon entering their new role. Some services may require the use of multi-factor authorization (MFA). Learning Technology services include access to integrated tools such as Turnitin, Respondus, Clickers (student response system), and other instructional tools. If you require access to an additional network drive or folder, you can submit a self-service request, or contact the Help Desk.

UW-Whitewater employees who leave the University prior to retirement do not retain access to technology services.  Copy all personal and authorized files you wish to retain prior to leaving the University. Access to network storage is discontinued after employment ends. Access to email will generally be retained for approximately 120 days after separation. DUO MFA will also need to be used during this period of time. An individual's access to sensitive data may affect the length of time their account remains active. Office 365 subscriptions used on personal devices will expire within 30 days of ending employment. 

Emeritus or Retired Employees

Emeriti faculty and retired employees retain the technology services with a green checkmark in the columns below for their lifetime.

  • Retaining access to email is contingent upon resetting your Net-ID password every 360 days. Inactive email accounts (those with expired passwords not updated in over a year) will be closed, and emails in those accounts will not be retained. 
  • At this time, DUO MFA is generally needed for 120 days after separation. Physical FOBs are considered departmental equipment and should be returned, and an alternative method of MFA can be set up.
  • Access to network storage is discontinued after active employment ends. Copy all personal files and other data you wish to retain prior to leaving the University
  • Office 365 subscriptions used on personal devices will expire within 30 days of ending employment.
