ATTENTION:

The Admissions Department at the University of Wisconsin-Whitewater seeks an Associate/Student Services Coordinator (Visitor Services Coordinator).

JOB DETAILS:

The Visitor Services Coordinator serves as a key member of the Admissions team and is responsible for the management of daily visits, college open house events, and the supervision of Campus Assistants-student tour guides. This is a 12-month, full-time position that reports to the Director of Admissions, and will be responsible for providing exceptional service to students, families and other constituents throughout the recruitment process. The individual will work collaboratively with the Admissions team and others across campus to ensure a positive visitor experience for students and families. The Visitor Services Coordinator is also responsible for recruiting, admitting and enrolling a talented and diverse student body. The individual will present information to prospective students during scheduled daily visit presentations, will recruit in an assigned territory, and will perform other duties as assigned by the director. Domestic travel is required, especially during the fall and spring recruitment seasons.

QUALIFICATIONS:

Minimum Qualifications:

  • Earned Bachelor’s degree.
  • Valid driver’s license (or ability to obtain a valid driver’s license).
  • 1 year experience in admissions, recruitment, higher education, or marketing related field.
Desired Qualifications:
  • Strong organizational and event planning skills.
  • Experience with web development and use of CRM (customer relationship management) systems.
  • Professional experience working with students and/or individuals from diverse backgrounds.
  • Fluency in a second language; preferable Spanish.
  • Familiarity with student information systems, particularly PeopleSoft.
  • Strong written communication and public speaking skills.
  • Effective interpersonal skills and ability to establish positive interaction with students, staff and faculty.
Knowledge, Skills, and Abilities:
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills.
  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds.
RESPONSIBILITIES:

The following examples of duties and responsibilities illustrate the general range of tasks assigned to the position, but are not intended to define the limits of required duties. Other essential duties may be assigned consistent with the general scope of the position.

Campus Visit Experience (50%)
  1. Responsible for the development, management, and assessment of daily tours, high school group tours, Saturday visits, and Warhawk Premiere Days.
  2. Manage event registration, confirmation and communications to all visitors. Ensure that all aspects of the campus visit experience are scheduled and accomplished in a timely and positive manner.
  3. Responsible for all event management, including but not limited to, space reservations, event set-up, catering, check-in, coordination of speakers, additional staffing, etc.
  4. Collaborate regularly and extensively with other academic and/or administrative units on campus to ensure successful visit programs.
  5. Identify effective campus tour routes and engagement strategies.
  6. Assess student and family feedback, making adjustments as needed to guarantee the quality of campus visits.
Student Supervision and Training (25%)
  1. Responsible for the recruitment, selection, training and supervision of the admission’s Campus Assistants, which includes 14-16 students who provide campus tours.
  2. Develop and execute comprehensive training and development for Campus Assistants. Monitor and coach throughout the year.
  3. Schedule Campus Assistants in a manner that ensures adequate coverage for all campus visit events in a timely manner.
  4. Monitor student employment budgets.
Recruitment, Admissions and Enrollment Management (25%)
  1. Travel to and recruit students at college fairs and high schools in assigned territories in Wisconsin.
  2. Establish working relationships with high school counselors in the assigned regions.
  3. Review applications and make admission decisions in a fair manner, consistent with university and office policy.
  4. Create and implement effective communication strategies using the CRM and other venues of outreach.
  5. Field telephone and email inquiries from potential students and families and deliver informational presentations to students who come to campus for a tour.
  6. Meet with prospective students and their parents during campus visits.
  7. Be familiar with university policies and procedures, especially Housing, Financial Aid, First Year Experience, and Center for Students with Disabilities, to communicate effectively with prospects.
  8. Participate in professional organizations, conferences and workshops when appropriate.
  9. Serve as a liaison for one of the academic colleges and/or other university departments as a representative of the Admissions Office to serve as the primary office contact.
  10. Additional duties as prescribed by the Director of Admissions.
